TEL Zoom Hybrid Instructions
The guidelines below will help you use the Zoom hybrid setup in the seminar room in the Melbourn building. This page will outline how to start an instant new meeting, join an existing meeting, how to manage the audio and video in the meeting, how to share content and different options when troubleshooting.

Starting a New Meeting
On the touch panel, Tap New Meeting to begin an instant Zoom meeting.
Share the meeting ID will people so they can join the meeting
Use the contacts panel to invite someone to the meeting using their MTU email address
Once in the meeting, invite participants by clicking “Participants” and then “Invite” to share the meeting link or ID.
Joining an Existing Meeting
On the touch panel Tap “Join”
Enter the Meeting ID and passcode (if needed).
Attendees can be admitted on the touch panel or on the hosts device
Managing Audio & Video
Audio is routed through the room’s ceiling mics and wall mounted speakers.
Use the touch panel to:
Mute/Unmute the room mic
Adjust volume for in-room playback
The Camera Control button allows you to manually pan, tilt, or zoom
Users in the room should mute their devices, speakers and microphones if connecting to the meeting
Sharing Content
On your device, go to zoom.us/share or use the Zoom app.
The host will have to enable sharing for participants
Select the window or screen to share.
In-Meeting Controls (Touch Panel)
Mute/Unmute Mic, Tap Microphone icon
Start/Stop Video, Tap Camera icon
End Meeting, Tap End > End for All
View Participants, Tap Participants > manage mute/video
Switch Layout, Tap View to toggle gallery/speaker view
Ending the Meeting
Tap End > End Meeting for All on the touch panel.

Quick Troubleshooting
Touch panel unresponsive, Reboot the panel (if safe) or contact IT
No mic/camera detected, Check physical connections or reboot system
Can't share screen, ask host to enable sharing permissions
Audio feedback/echo, Mute personal devices in the room
Things to Remember
It is NOT necessary to connect via HDMI
Treat it like any other online meeting
Camera and Microphone can be enabled from the touch panel
Anyone joining the meeting has the option to share their screen
Users in the room should mute their devices, speakers and microphones if connecting to the meeting (This will create feedback)
Two Microphones in the room (Front and back in ceiling), when enabled will show green rings
Two wall mounted speakers when enabled will show green strip (red when disabled)
Camera will face down when disabled and will face the room when enabled
